When processing a student employment hire be mindful of the template you are selecting. It is imperative that you use the UC_TBH_WS template for students with a work-study award. In addition to using the correct template, be sure that you are using the correct KFS account number, all work-study account numbers begin with a 529. Be very careful to never use a work-study (529) KFS account number on the student labor hire template UC_TBH_SL funding source. The work-study KFS account number should NEVER be used on the student labor hire template.
Work study funds will be available to students who are registered as part-time, financially eligible during the summer 2017 term, and fill out a summer financial aid application. If you are eligible for work study, an award will be offered to you. If you are awarded work study, please take the following steps:
- Log in to the Student Administration System and accept or decline your work study award
- Secure a summer work study job and be placed on the work study payroll on or before Thursday, June 1st
Since the University transitioned to Core-CT last September, Student Employment continued to accept pre-employment paperwork in order to assist departments with processing the high volume of student hires.
Beginning Wednesday, February 1st, Student Employment will no longer be accepting nor assisting with pre-employment paperwork, which includes Form I-9s, Direct Deposit and W4s. It is the responsibility of the hiring department to fill out these forms, including reviewing and verifying students’ identification for the Form I-9. Therefore, any student who comes to Student Employment for the purpose of completing a Form I-9 will be sent back to their supervisor to do so. Completed forms should be forwarded to the Payroll Department.
A reminder to students that have a work study award. Your spring work study award ends on May 5th. For May graduates on the Student Labor payroll, May 5th is also the last day that you can work on the student labor payroll.
